Quality Control Copilot
Growth without the quality slide, caught by spot checks instead of complaints
The problem
Quality slides when a business grows, and it slides quietly. The founder used to touch every job; now three people do the work and the first sign of trouble is a refund request or a 2-star review. Writing the process down was step one ([SOP Studio](/toolbox/sop-studio) covers it), but a document nobody checks against is a hope, not a control. What growing teams are missing is the boring middle layer: what gets checked, how often, by whom, and what happened last time.
The tool
Once installed, this skill turns your assistant into the quality layer your gut feeling used to be. For each process you name, it builds a short QC checklist: the 3 to 7 things that make the difference between "done" and "done right," written as pass/fail checks a busy person can run in minutes. It then sets a sampling rhythm that fits your volume, spot-check 2 jobs a week, not audit all 40, because a sustainable check beats a thorough one nobody runs.
The part a paper checklist can't do: it keeps the defect log across sessions. Every failed check gets recorded with the process, the step, and the fix, and patterns surface in plain sentences: "trim paint touch-ups failed 3 of the last 5 checks, all on rush jobs." When a step keeps failing, it drafts the SOP change or the 10-minute retraining brief instead of leaving you with a list of disappointments. Complaints and review themes feed in too, so outside signals and inside checks land in the same log.
What's inside
- Pass/fail QC checklists per process, kept to one page
- A sampling plan matched to your volume, not an audit fantasy
- A defect log that survives across sessions, with pattern callouts
- Fix drafts: SOP amendments and short retraining briefs when a step repeats
- Complaint and review themes folded into the same quality picture
- A monthly quality one-pager: pass rates, top repeat defect, one recommended fix
How to use it
- 1Click "Install skill" on this page and copy the install prompt.
- 2Paste it into your AI assistant (Claude, ChatGPT, anything that accepts pasted text).
- 3Name the 2 or 3 processes where a miss costs you customers, and answer its questions about what "done right" looks like.
- 4Run the first spot checks yourself, then hand the checklist to a lead. Log results in a one-line paste.
- 5Read the monthly one-pager and make the one fix it recommends before adding new checks.
Example
A 9-person cleaning company grows from 20 to 45 weekly jobs and the callbacks creep up. The skill builds a 6-point exit checklist per job type and a plan to spot-check 3 jobs a week, rotating crews. Four weeks of one-line logs later, the pattern reads: bathroom glass fails mostly on jobs booked under 2 hours. The fix it drafts isn't retraining, it's a booking rule (glass-heavy homes get the longer slot), plus one line added to the SOP. Callbacks drop the next month, and the owner saw it in the log before any customer said it in a review.
Pro tip
Cap every checklist at 7 items even when 15 feel important. A long checklist gets skimmed, and the skill's pattern log will tell you which dropped items earn their way back on. Delegating the checks themselves is its own process; the [Delegation Planner](/toolbox/delegation-planner) pairs well when the founder stops being the checker.
