The written health and safety policy, the violence and harassment policies and the posting checklist an Ontario workplace with six or more workers has to have, drafted from how your shop runs

The problem

Ontario's Occupational Health and Safety Act says an employer with more than five workers regularly employed must have a written health and safety policy, review it at least once a year, run a program to carry it out, and post it where workers will see it. Every workplace also needs workplace violence and workplace harassment policies, written down once you're past five workers. Most small businesses find this out from a Ministry inspector, or from the form that asks for the policy after someone gets hurt. The policy itself is a page. The program behind it is the work. This skill drafts both from how your workplace runs, and it gives you the posting and review calendar so the page doesn't go stale on the wall.

The tool

Once installed, this skill interviews you about the workplace the way a safety consultant would on a first visit: what the work is, what the hazards are (ladders, vehicles, kitchens, chemicals, lone work, the public), how many workers, whether you need a health and safety representative (six to nineteen workers) or a joint committee (twenty or more), and what training the work already requires. Then it writes the documents in plain language: the health and safety policy statement with the signature and date line, the violence policy, the harassment policy with its reporting route and investigation steps, and the program outline that turns the statement into named responsibilities.

It also builds the calendar: the annual review date, the posting checklist (the policy, the Act's poster, the Ministry's health and safety at work poster, the committee or representative's name), and the training log with expiry dates, so working-at-heights and WHMIS renewals stop surprising you. It doesn't replace the sector-specific requirements, and it says so; a construction project and a restaurant kitchen each carry regulations of their own, and the skill points you to the right one rather than paraphrasing it. The procedures themselves come out of the SOP Writer; the policy is the frame around them.

What's inside

  • A workplace interview that surfaces the hazards and the structure the Act expects for your headcount
  • The written health and safety policy statement, signed and dated, in plain language
  • Workplace violence and workplace harassment policies, with the reporting route, the investigation steps and the no-reprisal line
  • A program outline: who is responsible for what, how hazards are reported, how incidents are recorded and investigated
  • A posting checklist and an annual review calendar, so the documents stay current and visible
  • A training log template with expiry dates for the certifications your work requires

How to use it

  1. 1Click "Install skill" on this page and copy the install prompt.
  2. 2Paste it into your AI assistant (ChatGPT, Claude, anything that accepts pasted text).
  3. 3Answer the interview: the work, the hazards, the headcount, the sites, the training you already run.
  4. 4Review the drafted policies with whoever will sign them, adjust the responsibilities to real names and roles, and post them.
  5. 5Put the review date in your calendar and log training as it happens.

Example

A twelve-person auto body shop in London, Ontario has a safety binder from 2019 that nobody has opened since. The skill's interview turns up spray-booth chemicals, lifts, a customer-facing counter and a Saturday shift where one person works alone. The drafted policy statement fits on a page. The harassment policy names the owner as the first contact and the shop's accountant as the alternate, so a complaint about the owner has somewhere to go. The program outline assigns the lift inspections to the senior technician and the WHMIS binder to the office manager. The posting checklist reveals the shop has no health and safety representative, which it needed at six workers. The owner holds the selection that Friday, posts the four documents by the time clock, and sets the review for next October.

Pro tip

Date and sign the policy by hand every year, even when nothing changed. An inspector reads the date before the words. And when you have a lone worker, write the check-in rule into the violence policy, not into a text message thread: it's the kind of thing that only matters once, and that once is when the document counts.
